The Dispensing Platform makes this crucial issue of herbal inventory management easy. Each herb (or product) can be recorded by:

• Batch number
• The purchase date
• Use-by date
• Quantity

Inventory levels automatically adjust after each sale to ensure accurate levels are shown. Multiple batches can be assigned to each herb, making switching simple, even during an order. Low level alerts can be set individually to reflect each herb’s usage and encourage timely reordering.

The system provides comprehensive inventory management with batch monitoring and full regulatory compliance. Barcode scanning further simplifies the process and raises stock control accuracy and speed.

Errors are a significant issue for third-party dispensaries, but the DP safeguards ensure every script is accurate and complete. It’s impossible for practitioners to duplicate herbs, spell them wrong, use unavailable herbs or forget to add client contact details, dosages, or label instructions.

The Dispensing Platform removes any need to collect payments by connecting clients or practitioners with payment processors. Direct access to familiar banking platforms increases confidence and dramatically reduces the time and stress involved in arranging and checking payments.

When practitioners choose ‘Client pays’, secure payment requests are sent to the client by email. (We can add SMS if this is desired, as emails can be stopped by oversensitive security systems). The payment and product are clearly explained, and clients love the security, transparency and simplicity.

Practitioners like the same things, plus they like the dispensary collecting commission for them, relieving them of the need to calculate or check payments.

Practitioners can also pay with CC or via an ‘On Account’ agreement.

Professional, branded labels, with logos, the herbs in Pinyin or Latin, practitioner and patient names, dosage, user guidelines, order number and contact details. The labels meet legislation and patient needs, clearly and consistently, every time.

Labels can be printed from the Order page, keeping confusion to a minimum.

Discounted rates can be given to chosen practitioners, and they will apply to all that practitioner’s bespoke formulas (but not Shop products). The discount applies to the herb prices (incl. dispensary fee) before commission or shipping is applied to the order.

The Shop is available for any products you wish to sell. DP can accommodate more than one Shop (Trade and Retail) and different taxation rates. The bespoke DP e-commerce software can process multiple items (including Tax-free herbal ingredients (UK) and taxable products) in single transactions.

Website data security is a critical feature of DispensaryPlatform, and we’ve made every effort to minimise risk and maximise safety features. Our fully GDPR-compliant software is hosted on a secure server with SOC2 Type II and SOC3 reports, and an ISO 27001:2022 certification.

Admin access to the site requires the latest biometric two-step authentication, plus a password for the site that changes daily. Practitioners’ and clients’ passwords only give them access to dedicated data sections.

All payments are made off-site via links to regulated payment processors, avoiding the possibility of card details being compromised via DispensingPlatform.

The Dispensing Platform software is bespoke and developed specifically for herbal dispensing. The up-front cost has been our time and energy, but we have a robust system with high security and low exposure to future threats. Nearly all of the software has been coded specifically for the site, with minimal reliance on third-party plug-ins (which need updating regularly and are vulnerable to threats).

The platform is designed by an herbalist, in tandem with a top dispensary, and coded by an exceptional engineer with years of security industry experience.

Practitioners can personalise their Dashboard to Pinyin, Latin, or Chinese, brand their labels, alter client instruction templates and shipping settings 24/7. It provides access to formulas, orders and products, offering them complete flexibility and control.

Order status is shown in real time, with costs, commission owing and client details.

The dashboard has help videos and a ‘Contact Us’ tab that pre-fills their details, making it as easy as possible to contact you via the site.

Client details are easy to manage in one secure, searchable place. For faster, more accurate prescribing, client details should be added BEFORE their formula.

Classical East Asian herbal medicine involves adapting formulas to match a patient’s dynamics. The TEAM database has over 80 classic formulas, including their Actions, Indications, Structure, Adaptations, a Discussion, and Cautions and Contraindications. This is online script-writing with a reference book that naturally acts as a ‘refresher’ for practitioners as they work.

The TEAM database provides access to the formulas herbalists typically refer to. Scripts can be chosen and adapted in a side menu on the page, with reference to all formulas on that page, before adding to the Cart. Once in the Cart, the formula and instructions can be altered before ordering, and with pricing in the Cart, practitioners have a clear idea of costings.

The ‘Formula Builder’ is a simple way to create, save and prescribe formulas. A responsive search bar makes it quick and easy to choose herbs, adjust doses and repeat until the formula is built.

Formulas can be named and saved (or added to the Favourite Formulas folder; it’s a simple task to edit or adapt them in the future.

The price per gram/ml and the subtotal price of herbs appear during script writing, as does the daily subtotal, to give clear script costing.

Dispensing Platform is set for daily raw herb doses and supports customised herbal ratios across granule, powder, or liquid equivalents.

In addition to the TEAM formula database, there are advised dosages, herb names, and the clinical effects of Pao Zhi processing, plus substitutions for 90+ herbs on the Herbal Info tab to support practitioners.

Practitioners have a dedicated folder for their favourite/commonly used prescriptions (and adaptations). Formulas can be quickly assigned to a client, added to the Cart and adjusted further before prescribing.

Patients can set up their own accounts and pay, view their order history, change shipping details, track current orders, and reorder available products. It boosts transparency, builds trust, and gives patients more control over their care.

Retail herbal dispensaries must manage secure access to herbs and adhere to regulatory requirements by restricting access to qualified practitioners.

We make this easier with an invitation email template that you can send to existing practitioners. Our bespoke CSV file template for client details simplifies bulk transfers of client data to the site.

New practitioners must register, confirm their email address and await the dispensary’s review. Once their account is approved, they get a secure login to the site. Once a practitioner is registered, the dispensary can manage their access to products.

Patient accounts are registered automatically and instantly accessible (after confirmation of email address).
